About the role
The Talent Acquisition and Workforce Planning Specialist contributes to the systematic design of organizational structures, headcount budget alignment, and end-to-end talent sourcing pipelines required to sustainably fuel Vivant’s growth. The role is responsible for executing full-cycle recruitment, facilitating people requisition approvals, managing headcount budget alignment, and maintaining organizational documentation. Additionally, the role drives employer branding campaigns, university and scholarship partnerships, alternative staffing vendor management, and attrition analysis to ensure a robust and future-ready talent supply.
Key Responsibilities
End-to-End Talent Acquisition and Pipeline Management
- Coordinate with PF BU Ops (PAVs and BPPs) for end-to-end recruitment processes for assigned roles across various business units.
- Facilitate and track the people requisition approval process in alignment with organizational policies.
- Build and maintain active talent sourcing pipelines to support present and future hiring requirements. Organizational Design and Budget Alignment
- Support the systematic design, documentation, and continuous maintenance of organizational structures and charts.
- Monitor and align hiring activities and talent initiatives with approved People Budgets (Headcount & Programs).
- Maintain accurate headcount tracking records and assist in workforce planning documentation.3. Employer Branding, Social Media, and Recognition
- Develop and execute employer branding initiatives and social media campaigns to attract top talent.
- Promote Vivant’s Employer Value Proposition (EVP) across relevant professional platforms and networks.
- Coordinate and prepare submissions for employer branding, HR excellence, and workplace awards.4. Alternative Staffing, Vendor Management, and Analytics
- Manage external recruitment vendors, headhunters, and alternative staffing solution providers.
- Evaluate vendor performance, service level agreements (SLAs), contracts, and billing.
- Monitor, analyze, and report on attrition trends, time-to-hire, quality-of-hire, and recruitment metrics to inform decision-making. Other Duties

Qualifications
Education and Experience
- Bachelor's degree in Human Resource Management, Psychology, Business Administration, or a related field.
- 3 - 5 years of progressive HR experience, specializing in end-to-end talent acquisition, recruitment, workforce planning, or organizational development.
- Prior experience in employer branding, campus outreach, headcount tracking, or managing vendor relationships is highly advantageous. Knowledge and Skills
- Strong knowledge of full-cycle recruitment strategies, sourcing methodologies, and selection techniques.
- Familiarity with organizational design concepts, headcount budgeting, and workforce analytics.
- Proficiency in Applicant Tracking Systems (ATS), Google Workspace/MS Office suite, and social media management for recruitment.
- Strong analytical skills with the ability to interpret attrition and recruitment metrics.
- Excellent interpersonal, stakeholder management, and communication skills (written and verbal).
- High degree of organizational skill, detail orientation, and discretion in handling confidential personnel data.
