We are seeking an experienced Administrative Officer to join our team in Mandaluyong City, Metro Manila. In this role, you will be the backbone of our administrative operations, providing essential support to ensure smooth day-to-day functioning of the office. Key responsibilities

  • Preparing and maintaining accurate administrative records, files and documentation
  • Handling incoming and outgoing correspondence, including emails, letters and packages
  • Supporting meeting organisation, including preparing agendas, taking minutes and distributing documentation
  • Coordinating office supplies inventory and placing orders to maintain adequate stock levels
  • Processing expense reports, invoices and other financial documentation for approval
  • Providing reception duties, greeting visitors and directing them appropriately
  • Maintaining office facilities and liaising with service providers for maintenance and repairs
  • Supporting human resources functions such as employee onboarding and record keeping
  • Assisting with project coordination and administrative tasks as required by management

What we're looking for

  • Proven experience as an Administrative Officer, Administrative Assistant or similar role within an office environment
  • Proficiency in Microsoft Office applications, particularly Excel, Word and Outlook
  • Strong organisational and time management skills with the ability to prioritise multiple tasks effectively
  • Excellent written and verbal communication skills in English
  • Demonstrated ability to maintain confidentiality and handle sensitive information professionally
  • Attention to detail with accuracy in data entry and record keeping
  • A professional demeanour with strong interpersonal skills and a collaborative approach to working with colleagues at all levels
  • Reliability and punctuality with a commitment to maintaining professional standards
  • Familiarity with office management systems and administrative best practices
  • Flexibility and adaptability to changing priorities and business needs
