About the role
ROYCE' Chocolate USA is seeking an HR Specialist & Administrative Assistant to support its U.S. corporate operations, with a focus on HR administration, weekly payroll through Paycor, and day-to-day administrative support. This is an opportunity to support the people and operations behind a premium Japanese chocolate brand with a U.S. presence spanning retail boutiques, e-commerce, and gifting. You’ll help keep weekly payroll, onboarding, employee records, benefits documentation, and everyday administrative needs organized and moving smoothly for a team of approximately 50-60 full-time and part-time employees. You will be employed by Qore Resource Solutions in the Philippines and assigned to support ROYCE' Chocolate USA as part of the client's team.WORK ARRANGEMENTThis role is a great fit for someone with prior HR administration experience who is comfortable supporting day-to-day HR and administrative needs. It is a hybrid, night-shift position, with working hours of 9 PM to 6AM (10:00 PM to 7:00 AM Philippine Time during U.S. Daylight Saving Time). You’ll split your workweek between working from home and working from the office. KEY RESPONSIBILITIES
Payroll & Paycor Administration
Process accurate and timely weekly payroll in Paycor for approximately 50-60 full-time and part-time hourly and salaried employees. Audit weekly timesheets, track paid time off (PTO), review overtime calculations, resolve payroll discrepancies promptly, and calculate payroll tipping allocations by location. Onboard new hires directly in Paycor, including welcome packets, profile setup, Form I-9 and W-4 administration, and background-check initiation. Update and maintain company policy documents, benefits summaries, and employee handbooks within Paycor, including visibility and acknowledgment tracking.HR Administration & Employee Support
Maintain accurate and confidential digital personnel files and compliance records in accordance with established company procedures and applicable requirements. Serve as the primary point of contact for employee questions about payroll, benefits, handbook policies, and time-off tracking. Assist with open enrollment, benefits administration, workers' compensation documentation, and employee offboarding procedures. Administrative Support
Provide general administrative support to management and executive leadership, including calendar scheduling, email coordination, document preparation, and follow-up. Manage vendor communications, office supply ordering, and internal recordkeeping to help keep day-to-day operations running smoothly. Work closely with bookkeeping and finance to align weekly payroll totals with financial reports and account disbursements.QUALIFICATIONS & SKILLSHR Administration Experience: At least 2 years of hands-on experience supporting HR administration and payroll. Relevant HR administration experience is required. Education: High school diploma required; an Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field is preferred. Systems & Tools: Experience with Paycor across payroll, onboarding, and document management; training materials will be provided. Proficiency in Excel, Google Workspace, and Zoom is expected. Payroll & Compliance Knowledge: Working knowledge of wage-and-hour concepts, overtime requirements for hourly and salaried classifications, and multi-state HR/payroll administration. - Basic Salary: ₱33,000–₱36,000 per month, depending on relevant experience and overall fit
