About the role
Are you a numbers-driven strategist with a passion for workforce optimization? We are looking for a Workforce Analyst to take the lead in forecasting, capacity planning, and allocation for our technology resource teams supporting multiple projects across Asia-Pacific. In this critical role, you will ensure the right people are matched to the right projects based on skill, availability, and priority — maintaining balanced workloads and providing leadership with real-time visibility into team health and utilization. As we grow, you will be instrumental in enabling the team to scale efficiently without compromising delivery quality. Key Responsibilities
Resource Assessment & Allocation
Maintain full visibility of all active projects, incoming work requests, and resource availability across development, QA, business analysis, and project management teams. Assess team members' current capacity, skill sets, and workload to determine optimal project assignments. Recommend resource assignments to projects based on skill fit, availability, and priority. Maintain a live resource board reflecting current assignments, availability, and upcoming commitments. Identify and resolve resource scheduling and delivery conflicts proactively — ensuring workloads are balanced and overall team health is sustained. Adjust resource plans when project scopes shift, new priorities emerge, or urgent work is introduced. Capacity Planning & Forecasting
Review the incoming project pipeline and flag upcoming resource requirements to leadership before they become critical. Provide regular (weekly/monthly) reports on team capacity — highlighting availability, utilization levels, and potential gaps. Collaborate with leads and People & Culture when additional hires are needed based on projected workload. Track recurring patterns in resource demand to inform long-term planning decisions. Workforce Reporting & Visibility
Maintain a centralized view of all resource assignments accessible to leadership and project managers. Produce and distribute weekly utilization and capacity reports with clear dashboards and visual summaries. Track and report on key workforce metrics: utilization rate, bench time, allocation accuracy, and resource conflict frequency. Provide data-driven recommendations to leadership for workforce optimization and hiring decisions. Coordinate knowledge transfer and onboarding logistics when team members join projects mid-cycle. Qualifications
Education & Experience
Bachelor's degree in any relevant field (Business, Statistics, Information Technology, Engineering, or equivalent).3 to 5 years of experience in workforce management, capacity planning, reporting, or related role — preferably in a technology environment. Skills & Competencies
Proficient with spreadsheets and dashboards for tracking utilization and capacity (Excel, Google Sheets, Power BI, or Looker). Experience with resource management and scheduling tools (e.g., Jira, Smartsheet, Float, Resource Guru, or equivalent). Analytical thinking — ability to interpret workforce data and translate it into actionable recommendations. Detail-oriented and ensures quality through vigorous verification
Excellent communication skills — able to coordinate effectively between technical and non-technical stakeholders. Proactive and solutions-oriented mindset — anticipates issues and acts before they escalate. Familiarity with how software development projects operate (understanding of the flow from requirements through development, testing, and deployment) a plus.
