Qualifications
- Essential3-5 years of relevant experience in administrative support, healthcare administration, compliance, recruitment coordination, or a related field
- Excellent spoken and written English with a clear, neutral, and easily understood accent
- Confidence when communicating with UK-based clients, candidates, care professionals, and colleagues
- Exceptional attention to detail when handling reports, reconciliations, records, and administrative data
- Effective organizational, time-management, appointment-scheduling, and calendar-management skills
- Proven ability to follow structured procedures, manage changing priorities, and escalate issues appropriately
- Professional, friendly, patient, and empathetic telephone manner
- Ability to quickly learn new systems, processes, and industry terminology
- Sound judgment when handling confidential and sensitive information
- Familiarity with compliance tracking, documentation, recordkeeping, management reporting, telephone systems, and call-routing procedures
- Ability to work independently with initiative and adaptability
- Willingness to work fully onsite
- Flexibility to support month-end activities, audits, and other business requirements when needed

Responsibilities
Compliance Administration
- Complete daily compliance checks and administrative activities in accordance with established procedures
- Retrieve and review reports and records to confirm that all required information is complete and accurate
- Identify discrepancies, missing information, and potential issues, escalating them to the appropriate UK team members
- Maintain accurate compliance records and supporting documentation
- Follow defined compliance procedures and complete all required checks within agreed timelines
- Provide additional compliance-related administrative support to the UK team as required
Care Administration
- Administer and maintain accurate care-related records and documentation
- Assist with care plan updates and amendments after completing the required training
- Process updates arising from changes in medication, family requirements, care arrangements, or client circumstances
- Apply knowledge of home care terminology and procedures, including care plans,

- Provide general care administration support based on team capacity and operational
requirements
Visit Reconciliation and Month-End Support
- Reconcile care visits and associated records to verify their accuracy and completeness
- Confirm that care professionals have submitted the required hours and that visits have been recorded correctly
- Identify and flag discrepancies involving visit durations, additional carers, supervision visits, and other adjustments that may affect invoicing or payroll
- Prepare and verify information for submission to the external payroll team
- Assist with month-end invoicing and payroll-related checks
- Complete assigned month-end activities during the first few days of each month, with approximately 2 days of support depending on workload
Recruitment Administration
Conduct initial screenings of applicants and respond to recruitment enquiries
Contact candidates by telephone to confirm their location, commuting considerations, availability, right-to-work status, relevant experience, and other predefined criteria
