Managing calendars and appointment scheduling for the director. Provide assistance to other managers. Preparing client correspondence, engagement letters, and follow-up reminders. Supporting client onboarding and maintaining accurate CRM records. Handling document organisation, file management, and data entry in accounting/tax systems. Coordinating with the Australian team to keep workflows and deadlines on track. Providing general administrative support and basic research as needed. Communicating with clients and staff in a clear, firm, and professional manner when chasing documents, clarifying details, or rescheduling appointments. Delivering timely, high-quality customer service. Confidently acting as gatekeeper by filtering requests and determining appropriate access to the directors. Drafting communications and updates on behalf of the leadership team Preparing meeting agendas, taking minutes, and tracking action items. Managing personal admin for leadership, including travel and subscriptions. Coordinating travel bookings and itineraries. Ensuring commitments and follow-ups are completed. Proactively asking questions when uncertain and taking initiative to close information gaps. Creating, documenting, and maintaining written processes and procedures to improve workflow consistency. Skills & Experience Strong written and spoken English. 5 years + experience providing executive assistance to Senior Management, ideally virtually and to multiple stakeholders. Australian Accounting Administration experience will be highly regarded. Comfortable being direct, assertive, and confident when following up with clients or team members. Highly organised, tech‑savvy, and comfortable learning new systems. Ability to work independently and manage multiple priorities. IMPORTANT: Kindly complete the assessment exam to be considered
