Truck Dispatcher Virtual Assistant

Job Summary: We're hoping to welcome an experienced Truck Dispatcher to run the entire dispatch cycle for our trucking operation, from tracking down and negotiating profitable loads to making sure every delivery is paid. You'll be the brokers' main contact, taking calls and handling paperwork so our driver can keep his attention on the road. The best fit is a confident negotiator with strong phone skills, a sharp head for numbers, and practical experience with US load boards. Key Responsibilities: Find loads on load boards such as DAT and Truckstop.com to keep the truck booked consistently

• Analyze lane profitability by working out rate per mile, deadhead, fuel costs, and next-load potential before booking
• Bargain with brokers to secure the best possible rate on every load
• Book loads and finalize pickup and delivery details with brokers and shippers
• Handle inbound broker calls for the driver while he is on the road
• Make check calls and track loads in transit, sending brokers timely status updates
• Check rate confirmations for accuracy before sign-off, and manage BOLs and other load documents
• Fill in carrier packets and broker setup paperwork
• Gather and organize post-delivery paperwork, including signed BOLs and PODsIssue invoices promptly after delivery and follow up to secure timely payment
• Mandatory Skills: Established experience as a truck dispatcher for US carriers
• Practical experience with load boards such as DAT or Truckstop.com
• Strong rate negotiation skills with freight brokers
• Ability to work out rate per mile and assess lane profitability, including deadhead and fuel costs
• Working knowledge of rate confirmations, BOLs, PODs, and carrier packets
• Excellent spoken English and confidence on live broker calls
• Background in load tracking, check calls, and freight invoicing
• Accountable, careful, and self-directed
• Solid communication skills and the ability to make sound decisions on the spot
• Preferred Skills: Experience dispatching for owner-operators or small fleets
• Understanding of factoring companies and their submission process
• Experience with broker credit checks and carrier onboarding platforms
• Basic knowledge of Hours of Service (HOS) rules and trip planning
• Understanding of invoicing tools such as QuickBooks or similar software
• Ability to juggle multiple tasks and priorities under time pressure
