About the role

Production Coordinators play a key role in the successful delivery of creative digital and print work by providing dedicated production support to an assigned line of business. Acting as a central point of coordination between clients, creative leads, and production designers, this role helps ensure creative requests are clearly understood, appropriately prioritized, resourced, and delivered to established quality standards. Successful Production Coordinators understand the creative production process, anticipate needs and potential roadblocks, ask thoughtful questions, and proactively take action to keep work moving. They’re confident communicators who build strong client partnerships, provide clear and timely updates, and work collaboratively to find solutions that balance client needs with production requirements and team capacity. Working closely with creative leads, production designers, and the Production Coordinator Lead, to provide ownership and accountability for the day-to-day delivery of work within their assigned line of business while supporting a consistent, high-quality and high-volume experience. Responsibilities

Creative Production Coordination & Ownership

  • Provide dedicated production coordination and day-to-day delivery support for an assigned line of business, developing a strong understanding of its clients, creative needs, priorities, and ways of working.
  • Coordinate digital and print creative projects from intake through final delivery, ensuring requirements, milestones, deadlines, and established workflow standards are met.
  • Review incoming creative requests for completeness and production readiness, including scope, specifications, source files, assets, copy, dependencies, and delivery requirements.
  • Apply working knowledge of creative production to identify missing, unclear, or conflicting information and proactively resolve questions before work begins.
  • Maintain ownership and visibility of active projects, proactively following up on outstanding information, feedback, approvals, and dependencies.
  • Anticipate potential project roadblocks and take appropriate action to keep work moving.
  • Manage multiple creative projects and priorities simultaneously while maintaining accuracy, organization, and attention to detail.
  • Maintain accurate and current project information within established workflow and project management systems. Client & Stakeholder Partnership
  • Serve as a primary day-to-day production contact for clients and stakeholders within an assigned line of business.
  • Build trusted, collaborative relationships by demonstrating responsiveness, accountability, and a strong understanding of client needs.
  • Communicate clearly and professionally throughout the project lifecycle, including project intake, requirements clarification, status updates, feedback, timeline changes, risks, and final delivery.
  • Proactively provide updates and follow up with clients and stakeholders to ensure projects continue progressing as planned.
  • Set clear expectations regarding timelines, responsibilities, dependencies, and next steps.
  • Facilitate conversations between clients and creative teams, as needed, to clarify requests, communicate feedback, and support alignment.
  • Partner with clients and internal teams to identify mutually beneficial solutions when timelines, priorities, scope, or production needs require adjustment.
  • Communicate potential concerns or delivery risks early, providing appropriate context and recommended next steps.
  • Escalate complex or sensitive client situations to the Production Coordinator Lead when appropriate. Prioritization, Resourcing & Workflow Management
  • Coordinate the day-to-day assignment of creative work to designers supporting the assigned line of business.
  • Evaluate incoming requests, deadlines, business needs, and current workload to determine appropriate project priority.
  • Assign work to dedicated production designers based on project requirements, availability, workload, and established team processes.
  • Monitor designer workloads and active assignments to support balanced utilization and timely delivery.
  • Adjust project priorities and assignments as business needs evolve, communicating changes clearly to impacted team members and stakeholders.
  • Partner with Creative Team Leads and the Production Lead when capacity constraints, competing priorities, or resource concerns require additional support or escalation.
  • Maintain clear visibility into project status, upcoming deadlines, workload, risks, and dependencies.
  • Participate in and support production check-ins, workload discussions, and team alignment meetings. Creative Quality & Production Readiness
  • Review project requirements and creative outputs for alignment with documented specifications, requested deliverables, and client expectations.
  • Identify potential production concerns, inconsistencies, or missing information and coordinate resolution with the appropriate team members.
  • Coordinate required quality reviews and approvals prior to final delivery.
  • Support the documentation, tracking, and resolution of production or quality issues.
  • Partner with creative leads and production designers to reinforce established processes, quality expectations, and production best practices. Continuous Improvement & Team Support
  • Proactively identify opportunities to improve creative production workflows, communication, tools, templates, and team processes.
  • Recommend practical solutions to recurring production challenges or inefficiencies.
  • Share knowledge, best practices, and learnings across the Production Coordinator team.
  • Support onboarding and process training for new team members, including offshore production team members.
  • Contribute to a collaborative, accountable, and solutions-focused team environment.

Requirements

Required

  • 5+ years of experience in creative production coordination, creative project coordination, agency project management, traffic management, or a similar creative delivery role.
  • Demonstrated experience communicating directly with clients, business partners, or stakeholders in a professional environment.
  • Strong understanding of creative production workflows and the ability to identify missing requirements, production dependencies, or potential delivery concerns.
  • Proven ability to proactively manage work, anticipate needs, and take appropriate action without relying solely on direction from others.
  • Experience coordinating multiple creative projects, priorities, and deadlines simultaneously.
  • Strong written and verbal communication skills with the ability to provide clear, professional, and timely project communication.
  • Demonstrated ability to build collaborative relationships and work toward solutions that balance client needs, production requirements, and team capacity.
  • Strong organizational skills and attention to detail.
  • Ability to exercise sound judgment when prioritizing work and responding to changing business needs.
  • Experience using project management or workflow management platforms. Preferred
  • Experience within an internal creative team, advertising agency, marketing organization, or high-volume creative production environment.
  • Experience coordinating or assigning work across a team of designers or creative production professionals.
  • Experience supporting both digital and print creative deliverables.
  • Experience with Adobe Workfront or a comparable creative workflow management platform.
  • Working knowledge of Adobe Creative Cloud and Figma.
  • Experience working with globally distributed creative teams.
  • Familiarity with creative quality assurance and production review processes.
