Qualifications

• Required3-5 years of relevant experience in accounts payable, accounting operations, or a related finance role
• Professional accounting qualification, such as CIMA, ACCA, ACA, or an equivalent credential
• Strong understanding of IFRS and UK GAAPEssential experience working within a project-based business
• Proven ability to succeed in a fast-paced, dynamic environment
• Proficiency in Microsoft 365 and Google Workspace
• Familiarity with NetSuite or a comparable ERP system; direct NetSuite experience is preferred but not essential
• Proven experience in accounts payable processing, payments, journal entries, and supporting documentation
• Strong knowledge of bank and general ledger reconciliations, accruals, prepayments, financial controls, and period-end procedures

Responsibilities

Perform timely and accurate bank reconciliations across multiple entities, investigating and resolving discrepancies promptly. Administer the daily Payhawk workflow by reviewing submissions for policy compliance, coordinating approval routing, and resolving queries from initiation through posting. Prepare fortnightly payment runs for approval, verifying that all supporting documents and authorization levels are complete and appropriate. Post approved Payhawk transactions as journal entries in NetSuite in accordance with vendor payment procedures and financial control policies. Maintain and reconcile the prepayments schedule, ensuring accurate monthly amortization and complete supporting documentation. Update the fixed asset register for additions, disposals, and depreciation in accordance with FRS 102 and company policy. Reconcile accrual balances monthly, confirming completeness and accuracy before the period-end close. Fulfill year-end and interim audit requests by preparing reconciliations,

s, and supporting evidence for accounts payable balances. Assist the Accounts Payable Manager with ad hoc reconciliations, audit requirements, and process improvement initiatives. Identify and escalate control weaknesses, recurring discrepancies, and process inefficiencies to the Accounts Payable Manager. Complete assigned reconciliations and journal entries within agreed deadlines to support an efficient month-end close. Key Performance Indicators

• Bank reconciliations completed and approved within 3 working days after month-end
• Payhawk submissions reviewed and actioned within the agreed service-level timeframe of 24-48 hours
• Payment runs prepared accurately and submitted for approval within established deadlines

Payhawk-to-Net

• Suite journal entries posted with zero rework or correction
• Prepayment and accrual reconciliations completed without unexplained closing variances
• Fixed asset register maintained accurately, with no audit adjustments resulting from register errors
• Audit requests fulfilled within agreed timeframes and with minimal follow-up queries
• Control weaknesses and process inefficiencies identified and escalated proactively
