About the role
We are seeking a highly organized and detail-oriented Office-Based Virtual Assistant (VA) to support administrative, data management, and customer service functions. The ideal candidate has excellent communication skills, strong critical thinking abilities, and experience in the Life and Health Insurance industry. This role requires someone who can efficiently handle back-end operations, maintain accurate records, and provide exceptional support to customers and internal stakeholders.
Key Responsibilities
Administrative & Back-End Support
Perform various back-end administrative tasks to support daily operations. Maintain organized records, databases, and documentation. Assist in preparing reports, spreadsheets, and other business documents. Ensure data accuracy and completeness across systems and tracking tools. Data Entry & Collection
Accurately enter, update, and maintain data in company databases and systems. Gather, verify, and organize information from multiple sources. Conduct data quality checks and resolve discrepancies when identified. Generate reports and summaries as needed. Customer Service Support
Respond to customer inquiries via email, phone, or other communication channels. Provide timely and professional assistance to clients and stakeholders. Escalate complex concerns to the appropriate departments when necessary. Maintain a positive customer experience through clear and effective communication. Process Improvement & Problem Solving
Apply critical thinking skills to identify issues and recommend solutions. Support process enhancements that improve efficiency and accuracy. Handle tasks independently while managing multiple priorities effectively.
Qualifications
Bachelor's degree in any related field is preferred. At least 1-2 years of Virtual Assistant, Administrative Support, Customer Service, or related experience. Experience in Life Insurance and/or Health Insurance is highly preferred. Strong verbal and written communication skills. Excellent attention to detail and organizational skills. Strong critical thinking and problem-solving abilities. Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
