Key Responsibilities
Human Resources
Assist in recruitment, screening, interview scheduling, and onboarding of employees. Maintain and update employee 201 files, personnel records, and other HR documents. Prepare employment contracts, HR forms, memos, and other personnel documents. Monitor employee attendance, leave applications, and other HR-related records. Assist in payroll preparation and provide necessary attendance and employee information. Coordinate employee benefits, government contributions, and other statutory requirements. Assist in employee orientation, training, and company activities. Address routine employee concerns and coordinate HR matters with management when necessary. Ensure confidentiality and proper handling of employee information. Administrative Duties
Manage office supplies, equipment, and administrative inventories. Coordinate with suppliers, service providers, contractors, and government offices. Prepare correspondence, reports, documents, and other administrative requirements. Maintain organized physical and digital filing systems. Assist in scheduling meetings, company activities, and other administrative arrangements. Monitor office facilities, maintenance, and general workplace requirements. Perform other administrative tasks as assigned by management. Company Permits & Licenses Processing
Process the application, renewal, amendment, and updating of company permits, licenses, registrations, and certificates. Coordinate with relevant government agencies and local government offices regarding permit and licensing requirements. Monitor expiration dates of business permits, licenses, certificates, and other company registrations. Prepare and compile required documents for permit and license applications and renewals. Coordinate payment of applicable government fees and charges and ensure timely submission of requirements. Maintain an updated file and monitoring system for all company permits and licenses. Follow up with government offices regarding the status of applications and ensure documents are released and properly filed. Assist in securing permits and clearances required for company operations, including local business permits and other regulatory requirements applicable to the company. Ensure management is informed of upcoming renewals, additional requirements, and regulatory deadlines. Coordinate with external consultants, liaison officers, or authorized representatives when necessary.
Qualifications
Bachelor’s degree in Human Resources, Business Administration, Management, or a related field. With relevant experience in HR and administrative functions is preferred. Experience in processing business permits, licenses, and government documentation is an advantage. Knowledge of Philippine labor and government regulatory requirements is an advantage. Good organizational, communication, and interpersonal skills. Proficient in Microsoft Office applications, particularly Word and Excel. Able to handle confidential information with professionalism and discretion. Detail-oriented, organized, proactive, and able to manage multiple tasks. Willing to coordinate with government offices and other external parties as required.
