The Qualifications We Seek

Qualifications & Experience3 to 5 years of experience as a Virtual Assistant, Executive Assistant, Personal Assistant, or in a similar role supporting senior leadership

  • Proven experience managing executive calendars, inboxes, meetings, and follow-ups
  • Strong written and verbal English communication skills
  • Excellent organizational and time management skills
  • Strong attention to detail and ability to manage multiple priorities
  • Experience working with meeting transcripts,

  • Strong judgment and discretion when interacting with executives and external stakeholders
  • Ability to work independently and take ownership of tasks without constant supervision
  • Ability to determine when tasks can be handled independently and when executive approval or clarification is required
  • Experience communicating with senior executives, clients, vendors, or strategic business partners, highly preferred
  • Proficiency in Microsoft Office and common communication and productivity tools

  • Coordinate and manage meetings, calendars, and appointments
  • Manage and organize executive inboxes and emails

  • Meeting & Action Item Management
  • Attend meetings or review meeting transcripts to identify key discussions, decisions, and action items
  • Track commitments made during meetings and ensure timely follow-through
  • Coordinate with internal team members and external partners to complete assigned action items
  • Follow up on outstanding items and provide updates to executives
  • Remind leadership proactively of commitments, deadlines, and pending follow-ups
  • Identify when additional clarification or approval is required before proceeding
  • Email & Stakeholder Coordination
  • Draft, organize, and respond to emails as appropriate
  • Coordinate communications with internal teams, vendors, franchisees, and strategic partners
  • Maintain a professional and appropriate tone when communicating on behalf of senior leadership
  • Exercise discretion when handling confidential or sensitive business information
  • Research & Special Projects
  • Conduct basic research on business, franchise, market, vendor, and other requested topics
  • Summarize findings and present relevant information clearly and concisely
  • Support special projects and other administrative tasks as assigned
  • Take on additional responsibilities as the role develops
