About the role

The HR AND ADMINISTRATION MANAGER is responsible for managing the company’s full human resources requirements and day-to-day administrative functions, from workforce planning and recruitment through employee engagement, performance management, employee relations, compliance, and office administration. The role reports to the Managing Director or designated executive and works closely with the Finance & Accounting Manager to coordinate payroll inputs, employee benefits, statutory requirements, administrative budgets, vendors, and related controls.ROLES AND RESPONSIBILITIES

  • Workforce planning and recruitment: Coordinate manpower requirements with department heads and manage the full recruitment cycle, including job description

s, sourcing, screening, interviews, offers, pre-employment requirements, and onboarding.

  • Employee lifecycle management: Manage onboarding, employment documentation, probationary confirmation, transfers, promotions, changes in employment status, resignations, exit interviews, and clearances.
  • HR policy and compliance: Develop, review, communicate, and consistently implement HR policies, the employee handbook, and standard procedures in compliance with Philippine labor laws and company requirements.
  • Employee records and data protection: Maintain complete, accurate, confidential, and audit-ready employee files, contracts, attendance, leave, benefits, training, performance, and disciplinary records.
  • Performance and development: Administer probationary and regular performance reviews, performance improvement plans, training-needs assessment, career development, and succession support with department heads.
  • Employee engagement and retention: Plan and execute internal communications, engagement activities, recognition programs, employee surveys, wellness initiatives, and retention programs appropriate to a multi-shift workforce.
  • Employee relations: Address employee concerns, grievances, attendance issues, workplace conflicts, investigations, and disciplinary cases fairly, consistently, confidentially, and with proper due process.
  • Payroll and benefits coordination: Provide Finance & Accounting with timely and verified headcount, timekeeping, leave, allowance, deduction, adjustment, and separation data; help reconcile discrepancies and coordinate HMO and statutory benefit administration while Finance retains payroll processing and payment controls.
  • General office administration: Manage office supplies, facilities and maintenance coordination, access and equipment records, courier and transport needs, service providers, housekeeping, security support, and other daily administrative requirements.
  • Vendors, purchasing, and budget support: Obtain quotations, maintain vendor records, monitor HR/Admin expenses and renewals, and submit complete purchase and invoice documentation to Finance & Accounting for approval and payment.
  • Management reporting: Prepare accurate HR and administrative reports covering headcount, recruitment, attrition, attendance, engagement, employee cases, compliance deadlines, expenses, and operational risks.
  • Leadership and support: Supervise assigned HR/Admin staff and service providers, support company audits and management initiatives, and perform other related duties assigned by management.
