Position Summary
The Virtual Assistant - Philippines plays a pivotal role in ensuring seamless front desk operations, administrative support, and client engagement. This position combines high-level customer care with to deliver exceptional service experiences and drive efficiency across daily operations. Acting as the first point of contact for clients and stakeholders, this role demands a proactive, detail-oriented professional who thrives in a dynamic environment.
Key Responsibilities
Front Desk Operations
- Ensure a virtual reception experience that is organised, professional, and welcoming.
- Manage incoming calls, emails, and inquiries promptly and courteously.
- Resolve or escalate client concerns, maintaining high service standards.
- Uphold company protocols, policies, and procedures in all client-facing interactions.
Client Relationship & Engagement
- Act as the primary contact for clients, families, caregivers, and external stakeholders.
- Provide tailored support and guidance to clients throughout their engagement.
- Respond to inquiries regarding services, eligibility, and approvals for care packages.
- Address and resolve complex client concerns, ensuring follow-up communication.
- Promote and inform clients of upcoming events and services.
Process Improvements & Operations Support
- Identify and implement improvements in administrative and reception procedures.
- Collaborate with leadership to streamline virtual front desk and client workflows.
- Develop and document standard operating procedures to enhance efficiency.
Administrative & Marketing Support
- Oversee virtual administrative functions including data entry, record keeping, and document management.
- Support CHSP referrals, intake coordination, and NDIS-related client support.
- Maintain accurate consumer records and ensure data integrity.
- Assist with marketing initiatives, community engagement, and promotional efforts targeting CALD communities.
- Collect client feedback to inform service improvement and innovation.
Cross-Functional Collaboration
- Liaise with internal departments to ensure coordinated service delivery.
- Support rostering team with schedule updates and staff availability.
- Participate in virtual meetings and contribute to operational planning.
- Handle general clerical tasks including digital filing, transcribing, and correspondence.
- Other tasks as delegated to support the ongoing functioning of the company.
What You Bring To The Role
- Certificate III in Administration or equivalent (desirable)
- Excellent communication and interpersonal skills
- Prior experience working in healthcare, NDIS, aged care, or community services (highly regarded)
- Ability to comply with and awareness of work health and safety (WHS)
- Sound understanding of compliance in Aged Care and NDIS (including the quality standards, WHS, infection
prevention and control, and SIRS) setting
- The right to work unrestricted in Australia (evidence will be required)
- A current National Police Records check, dated no later than 3 months from application (or willing to apply
for one)
- Working with Children Check (or willing to apply for one)
- NDIS Workers Screening Check (or willing to apply for one)
- Minimum 2 doses of the COVID-19 vaccination
