About the role
- Job Summary
The BPS Reporting & Automation Officer is responsible for creating, developing, maintaining, and delivering accurate and timely operational reports, dashboards, and data analysis to support the BPS Department and other business stakeholders.
The role will work with various reporting and data platforms, including SPAVI Tools, Freshworks, Power BI, Excel, Lark, and other available systems and tools, to extract, consolidate, validate, analyze, and present operational data.
In addition to regular reporting responsibilities, the role will identify opportunities to streamline, improve, and automate manual reporting processes using Lark and other appropriate automation tools.
Key Responsibilities
A. Reporting & Data Management
- Develop and maintain daily, weekly, monthly, and quarterly BPS reports.
- Prepare operational reports based on established reporting requirements and deadlines.
- Extract and consolidate data from the SPAVI Tools, Freshworks, Power BI, Excel, Lark, and other relevant systems.
- Ensure data is accurately captured, processed, and presented.
- Maintain reporting templates, trackers, dashboards, and databases.
- Update existing reports based on changes in business requirements.
- Perform data validation, reconciliation, and quality checks before reports are released.
- Investigate discrepancies between different data sources and coordinate with the appropriate teams for resolution.
- Maintain consistency in KPI definitions, calculations, reporting logic, and data presentation.
B. BPS Operational Reporting

C. Stakeholder & Ad Hoc Reporting
- Support reporting requirements from BPS and other internal stakeholders.
- Develop ad hoc reports based on business requirements.
- Clarify reporting requirements, data definitions, frequency, and expected output with requestors.
- Translate business requirements into practical reports or dashboards.
- Provide reports within agreed timelines and service levels.
- Determine the most appropriate reporting tool or format based on the requirement.
- Respond to questions regarding report results, data sources, calculations, and trends.
- Support management presentations by providing accurate data and reporting summaries.
D. Dashboard & Visualization
- Develop and maintain dashboards using Power BI and other applicable reporting tools.
- Convert raw operational data into clear and meaningful visual reports.
- Create dashboards that allow stakeholders to monitor performance, trends, and key operational indicators.
- Maintain existing reports and dashboards.
- Support dashboard enhancements based on changing business requirements.
- Ensure dashboards are easy to understand and provide actionable information.
- Apply appropriate data visualization techniques based on the audience and reporting requirement.
E. Reporting Automation
- Identify repetitive and manual reporting activities that can be automated.
- Design and implement reporting automation using Lark and other appropriate tools.
- Develop automated workflows for data collection, consolidation, notifications, approvals, and reporting.
- Automate recurring report generation where technically feasible.
- Create automated alerts and notifications for predefined conditions or exceptions.
- Reduce manual data manipulation and repetitive reporting activities.
- Monitor automated processes and troubleshoot issues when they occur.
- Continuously evaluate existing reporting processes for automation opportunities.
- Document automated workflows and ensure they can be maintained by the team.
F. Lark Platform & Workflow Support
- Utilize Lark Base, Forms, Workflows, and related functionality to support BPS reporting and operational processes.
- Create and maintain Lark-based trackers and databases.
- Develop workflows to support data collection and reporting requirements.
- Configure automated notifications, reminders, and task assignments.
- Support integration of Lark data with reporting processes where applicable.
- Work with stakeholders to identify processes that can be transitioned from manual trackers to Lark.
- Troubleshoot and improve existing Lark workflows.
- Maintain documentation for Lark-based reporting processes and workflows.
G. Data Analysis & Insights
- Identify trends and performance patterns.
- Compare actual performance against targets.
- Identify significant variances or unusual data points.
- Highlight potential operational gaps or risks.
- Provide data-backed observations to stakeholders.
- Support management in understanding operational performance.
- Assist in developing recommendations based on available data.
H. Process Improvement
- Review existing reporting processes and identify inefficiencies.
- Recommend improvements to reporting formats, processes, and workflows.
- Reduce duplicate reporting and unnecessary manual activities.
- Standardize recurring reports where appropriate.
- Improve reporting turnaround time and data accuracy.
- Work with BPS and other stakeholders to simplify data requirements.
- Support continuous improvement initiatives involving reporting and automation.
I. Data Quality & Governance
- Ensure reports are based on accurate and reliable data.
- Perform data validation before publishing reports.
- Reconcile data between multiple systems when necessary.
- Identify missing, duplicate, inconsistent, or incorrect data.
- Escalate data-quality issues to the appropriate system or process owner.
- Maintain clear documentation of data sources, report definitions, KPI calculations, formulas, filters, and business rules.
- Maintain appropriate access and confidentiality when handling operational information.
