About the role
Schedule: The Contractor shall be available for in-office coordination and meetings every Monday between 9:00 AM and 5:00 PM. On other days, the Contractor shall independently manage their schedule to accomplish field activities, beneficiary assessments, outreach events, and monitoring visits, which may involve travel and occasional work beyond regular hours. The Contractor retains discretion in structuring their time outside the agreed coordination day, provided that all deliverables and project timelines are met.
About the Role
A private philanthropic office in Metro Manila is looking for a Project Manager to plan, oversee, coordinate, and run its donation and community-based projects from start to finish. In this role, you will evaluate potential beneficiaries, execute approved initiatives, manage budgets with full transparency, and report results directly to the Principal or the Principal’s authorized representative. We are seeking a proactive, reliable, and sensitive professional who conducts all work with high ethical standards, strict confidentiality, and due respect for the nature of philanthropic endeavors.
What You Will Do
General Responsibilities & Planning
Plan, oversee, coordinate, and manage all donation-related and philanthropic initiatives to ensure they are executed efficiently, transparently, and in alignment with the Principal’s objectives and directives. Identify, assess, and recommend potential beneficiaries, partner organizations, and project opportunities aligned with philanthropic priorities. Conduct thorough due diligence on proposed beneficiaries, including background checks, needs assessments, and feasibility evaluations. Prepare detailed project proposals, implementation plans, timelines, and budget estimates for review and approval. Implementation, Logistics & Fieldwork
Execute approved donation projects in close collaboration with beneficiaries, suppliers, service providers, and community stakeholders. Coordinate logistics, procurement, and resource allocation essential for project success. Supervise on-ground activities, field outreach, and site visits, ensuring strict adherence to agreed project parameters, timelines, and quality standards. Monitoring, Reporting & Timeliness
Track project progress, expenditures, and community outcomes through accurate documentation. Prepare and submit timely progress reports, completion reports, financial summaries, and impact assessments. Treat time as of the essence: immediately flag any issues, potential delays, risks, or deviations from project plans to the Principal and actively recommend and implement corrective/mitigating actions. Financial Management & Legal Compliance
Manage project budgets with complete transparency, integrity, proper documentation, liquidation, and financial accountability. Maintain precise financial records, receipts, and supporting documents for all disbursements. Ensure full compliance with applicable legal regulations and reporting rules relating to charitable donations and grants. File tax exception forms with BIR and other compliance documentation with the appropriate agencies. Stakeholder Engagement & Representation
Serve as the Principal’s authorized representative in communications with beneficiaries, partner organizations, vendors, and community leaders. Maintain professional relationships and facilitate effective coordination among all involved parties. Uphold the highest ethical standards at all times, ensuring that all conduct protects and preserves the reputation, image, and interests of the Principal, its officers, employees, and operations without causing disruption or discredit. Perform other related duties and responsibilities as reasonably required by the Principal in connection with project planning, execution, or evaluation.
