Client Overview: William is an awesome finance expert who helps business owners understand their numbers and make better decisions. He is looking for an equally awesome unicorn who can assist him with client onboarding, simple bookkeeping, and other administrative tasks so he can stay in his zone of genius. Client Requirements: Must be able to work 20 hours weekly, with potential to increase based on performance and as the business grows Must be able to work any 4-hour block from 9 AM to 1 PM Pacific Time (US) Must have strong English communication skills (written and verbal)
Must be highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
Must be trustworthy and comfortable handling sensitive and confidential information Must have bookkeeping experience (a formal accounting background is a plus, not required) Must be comfortable building and working in spreadsheets Must love numbers and be eager to understand the business from a financial perspective Must love learning and be comfortable picking up new systems and processes Responsibilities/Tasks: Must-Have Experience (Responsibilities You Must Be Proficient In): These are the tasks the VA needs to handle independently and confidently from day one: Onboarding, Contracts & Admin Support
- Manage the onboarding process for new clients, including getting access to client accounts and the systems needed to begin work
- Prepare contracts, send them out for signature, and track them through to completion
- Collect financial documents from new clients and follow up on anything missing, such as bank statements, balance sheets, and income statements
- Organize and maintain client files and information so everything is in one place
Support William with general administrative tasks as they come up to help keep his day-to-day work organized and running smoothly. Bookkeeping & Financial Support: Handle simple bookkeeping and bank reconciliations
- Read and understand financial statements well enough to know what each one shows and spot anything missing
- Build simple forecasts and first-pass financial models in spreadsheets to support William’s higher-level analysis (Excel experience is a plus, not required)
- Flag anything that looks unusual or concerning in the numbers rather than simply passing it along
- Referral Tracking & Prospect Research
- Help William set up a simple tracker for referrals and keep it up to date
- Track who referred each client
- Send thank you messages to everyone who sends a referral, including connecting and saying thanks on Linked

- Check in with referral partners every couple of months to keep the line of communication open
- Research potential clients and prepare
