JOB SUMMARY

The Non-CPA Bookkeeper is responsible for maintaining accurate and organized financial records of the business and its branches. The position focuses on daily sales and expense recording, cash and bank monitoring, accounts payable and receivable, inventory and cost monitoring, payroll support, branch-level bookkeeping, and preparation of management reports.

KEY RESPONSIBILITIES

  • Daily Sales Recording
  • Record and consolidate daily sales per branch.
  • Separate sales by cash, GCash, card, GrabFood, Foodpanda, kiosk, and other channels.
  • Reconcile POS records against actual collections.
  • Identify and report sales shortages, overages, and discrepancies.
  • Expense & Purchase Recording
  • Record supplier purchases, utilities, rent, petty cash, transportation, repairs, and other business expenses.
  • Collect and organize receipts, invoices, and supporting documents.
  • Properly classify expenses according to branch and expense category.
  • Cash & Bank Monitoring
  • Maintain records of cash deposits, withdrawals, and cash-on-hand.
  • Monitor daily bank deposits.
  • Perform regular bank reconciliation.
  • Track issued and outstanding checks/payments.
  • Maintain accurate petty cash records.
  • Accounts Payable
  • Maintain updated supplier balances.
  • Monitor supplier due dates and payment

  • Monitor supplier credit terms and outstanding obligations.
  • Accounts Receivable
  • Monitor collectible balances from customers, catering clients, corporate accounts, and other clients.
  • Track GrabFood, Foodpanda, and other platform receivables and settlements.
  • Maintain an updated list of outstanding receivables.
  • Follow up outstanding balances as instructed by management.
  • Inventory & Cost Monitoring
  • Record inventory purchases, transfers, and related costs.
  • Assist in monitoring beginning inventory, purchases, usage, wastage, and ending inventory.
  • Assist in calculating food cost and COGS.
  • Coordinate with operations regarding significant inventory variances.
  • Report unusual or unexplained inventory discrepancies to management.
  • Payroll Support
  • Prepare payroll computations based on approved attendance records.
  • Record salaries, allowances, deductions, cash advances, and employee loans.
  • Maintain organized payroll records and supporting documents.
  • Prepare payroll summaries for management review and approval.
  • Branch Bookkeeping
  • Maintain separate financial records for each branch.
  • Prepare branch-level sales and expense summaries.
  • Monitor branch operating results.
  • Reconcile inter-branch transfers, expenses, and other transactions.
  • Monthly Management Reports

Prepare and submit accurate monthly reports, including

  • Sales Report
  • Expense Report
  • Accounts Payable Aging
  • Accounts Receivable Aging
  • Cash and Bank Reconciliation
  • Inventory and COGS Report
  • Preliminary Profit & Loss per Branch
  • Consolidated Business Performance Report
  • Document Management & CPA Coordination
  • Organize invoices, receipts, bank statements, payroll records, supplier documents, contracts, and other financial records.
  • Maintain complete and orderly accounting files.
  • Prepare

  • Coordinate with the CPA regarding accounting and tax-related requirements.
  • Provide records needed for audit, tax compliance, or government inspection.
  • Ensure documents are properly filed and readily accessible.

QUALIFICATIONS

  • Graduate of Accounting, Finance, Business Administration, or a related course is preferred.
  • Previous bookkeeping, accounting assistant, or finance-related experience is preferred.
  • Knowledge of basic bookkeeping and accounting principles.
  • Proficient in Microsoft Excel/Google Sheets and other accounting or record-keeping tools.
  • Strong attention to detail and accuracy.
  • Organized and able to maintain confidential financial records.
  • Able to reconcile transactions and identify discrepancies.
  • Good communication and coordination skills.
  • Able to meet deadlines and manage multiple branch records.
  • CPA license is not required.

KEY PERFORMANCE EXPECTATIONS

The Bookkeeper is expected to

  • Maintain accurate and updated financial records.
  • Submit daily and monthly reports on time.
  • Ensure sales, cash, expenses, payables, receivables, and inventory records are properly reconciled.
  • Immediately report discrepancies or unusual transactions.
  • Maintain complete supporting documentation.
  • Protect the confidentiality of company financial information.
  • Provide reliable and organized financial data for management decision-making and CPA review.

SCOPE LIMITATION

This is a non-CPA bookkeeping position. The Bookkeeper is responsible for recording, organizing, reconciling, monitoring, and reporting financial information. Final tax compliance, audit work, professional accounting opinions, and other functions legally reserved for a CPA or qualified professional shall remain under the responsibility of the company’s designated CPA or accounting professional.

Management may assign other related bookkeeping and administrative finance tasks as reasonably required by the business.
