About the Role
As an HR and Administration Coordinator, you will play a vital role in providing end-to-end support in human resources, administration, payroll, health and safety, fleet coordination, and general business operations across the company's nationwide operations. The role ensures the efficient, compliant, and effective day-to-day operation of business functions by providing support to employees, managers, and directors across all branches. You will work closely with estimators and operations managers to make sure quote details are complete, recorded correctly, sent to the appropriate person, and followed up on time. What you’ll be working on: Administration & Business Support: Provide administrative support to the business unit and Regional Manager, including scheduling meetings, preparing agendas, and distributing minutes. Manage day-to-day office operations such as reception duties, handling calls, mail, emails, courier coordination, and staff travel arrangements. Assist in preparing reports and submissions, while coordinating company, branch, project, client, and staff events. Human Resources & Employee Administration: Manage end-to-end recruitment processes, including job postings, applicant coordination, and maintaining recruitment platforms. Coordinate onboarding, inductions, and training for new staff, contractors, and visitors, ensuring compliance with company requirements. Maintain accurate employee records, HR systems, personnel files, and employee-related materials such as ID cards and name badges. Payroll & Time Management: Collate, review, and process employee timesheets accurately and on time. Support payroll preparation and processing to ensure compliance with payroll deadlines. Respond to payroll-related inquiries from employees and management in a timely manner. Health & Safety Compliance: Support the implementation and maintenance of Health & Safety systems, procedures, and compliance requirements across all branches. Coordinate site inductions, supplier onboarding, and prequalification processes to ensure operational and safety standards are met. Manage workplace compliance activities, including drug and alcohol testing requirements. Fleet, Assets & Office Administration: Assist in managing the company vehicle fleet, including WOFs, servicing, maintenance scheduling, and ensuringvehicles remain operational and compliant. Oversee the issuance, tracking, and stocktaking of uniforms and equipment, ensuring all items are properly documented and acknowledged. Reporting & General Responsibilities: Provide regular updates to Business Managers and Directors on HR, payroll, administration, and operational matters. Support managers and teams across all branches to ensure smooth day-to-day operations and consistent business processes. Help maintain compliance standards while contributing to a professional, efficient, and safety-focused workplace culture.
