About the role
The Role
The UGC Assistant is the day-to-day point of contact for Ecosa's creator roster and the bridge between our creators and the Paid Social and Creative Manager. Reporting to the Paid Social and Creative Manager, this role keeps a high volume of creators moving on schedule, from first contact through to contracted deliverables landing in our content library. This is a high-volume coordination role. You can expect to manage at least 20 creators per month, each producing 2 to 4 deliverables per project. Success looks like creators who feel well looked after, deliverables that land on time, contracts that are complete and accurate, and a content library that anyone on the team can navigate without asking. Final approval on creators, content, and scripts sits with the Paid Social and Creative Manager. Your role is to prepare, coordinate, communicate, and follow through so those decisions can be made quickly and acted on cleanly. Key Responsibilities: Creator Communications
Act as the primary day-to-day contact for all creators, handling outreach, onboarding, questions, scheduling, and follow-ups. Serve as the bridge between creators and the Paid Social and Creative Manager, relaying feedback, revision requests, and approvals clearly and promptly in both directions. Keep communication warm, professional, and on brand. You are the voice of Ecosa to our creator community. Escalate issues early, including creators who go quiet, push back on terms, or raise concerns about a brief. Timeline & Deliverable Management
Own the production calendar across all active creators and projects. Track every deliverable against its due date and chase proactively rather than reactively. Flag slippage to the Paid Social and Creative Manager before it becomes a launch risk, with a proposed fix. Coordinate product seeding, including shipping requests, tracking, and delivery confirmation, so filming can start on time. Contract Administration
Prepare and fill out contracts for each creator from Ecosa's approved template, ready for the Paid Social and Creative Manager to review and sign. Ensure every contract is complete and accurate before it is passed for signature, including deliverables. Coordinate invoicing and payment with finance in line with Ecosa's internal payment cycle. Content Library & Google Drive Management
Manage the internal Google Drive content library, including uploading, naming, foldering, and tagging all raw and final assets. Keep the library tidy and current: no duplicates, no orphan files, no assets sitting in someone's downloads folder. Briefing & Production Support
Issue approved briefs and scripts to creators and make sure they are understood before filming begins. Do a first-pass check of incoming content against the brief for framing, lighting, audio, product accuracy, and obvious brand-safety issues, then pass it to the Paid Social and Creative Manager for approval. Communicate revision requests to creators clearly and track them through to resubmission. Support ad-hoc tasks as required. Reporting & Admin
Maintain trackers covering creator status, deliverables, contracts, spend, and content pipeline. Report on programme throughput, including creators contracted, deliverables received, on-time rate, and cost per asset. Growth & Development Opportunities: Gain exposure to creator marketing at scale from one of the leading omnichannel retailers in Australia, New Zealand and the United States. Build deep experience managing a large creator roster and the systems that keep it running. Learn how UGC performs in paid social and how creative decisions affect performance outcomes. Build confidence with contracts, usage rights, and creator negotiations. Progress toward owning the creator programme end-to-end with mentorship and guidance from the Paid Social and Creative Manager. Qualifications:1 year of experience in influencer marketing, UGC, social media, content coordination, or production coordination, either in-house or agency. Proven experience managing a high volume of external contacts at once. This role handles 20 or more creators per month with 2 to 4 deliverables each, so comfort with volume is a MUST.Extremely strong organisational skills. You track everything, you do not rely on memory, and nothing quietly falls off the list. Demonstrated ability to work in a fast-paced environment and juggle competing deadlines without dropping detail. Experience working with Google Sheets and Google Drive, including basic formulas, formatting, and maintaining structured file systems. Extremely strong attention to detail, with the ability to follow processes exactly and minimise errors. Fluent in English, with strong written and verbal communication skills. Written tone matters here, as you will be representing Ecosa to creators every day. Comfortable following up persistently and politely, and confident escalating when something is off track. Preferred Qualifications (training can be provided): Familiarity with social media advertising, including how creators work and what good short-form content looks like. Basic understanding of paid social and common e-commerce metrics (i.e. spend, revenue, ROAS, CTR, CPM, CPC, etc.)Experience in e-commerce or DTC brands. Why work for Ecosa?
