The Qualifications We Seek
Education and Experience
- High school diploma or equivalent, required3 years of experience in administrative support, project coordination, and/or property management, preferred
- Experience with data entry, file organization, email communication, and task progress tracking, preferred
Required Competencies and Skills
Strong administrative and organizational skills with the ability to maintain accurate records, organize files, and keep transition documents up to date
Strong multitasking and prioritization skills with the ability to monitor pending items, track progress, and provide timely follow-up in a fast-paced environment
- Proficiency in Microsoft Outlook, Word, Excel, One
- Drive, Teams channels, Adobe Acrobat, and Windows operating systems
- Excellent written communication and grammar skills with the ability to provide clear and professional email communication to vendors and internal team members
- Dependable and responsive work style with strong follow-through on assigned tasks and deadlines
- Ability to work independently while coordinating with multiple departments and vendors
- Ability to communicate effectively with team members across all levels of the organization
- Ability to maintain confidentiality when handling transition documents and information
Your Daily Tasks
Provide administrative and clerical support for property onboarding and offboarding transition projects
Attend onboarding and offboarding transition calls to capture key updates, track project status, and keep stakeholders informed throughout the transition process
- Create, organize, and maintain transition folders in One
- Drive and related shared locations
- Update data, trackers, checklists, logs, and other transition documents to maintain accurate and current information
- Assist with vendor setup and collect required vendor information throughout the transition process
- Track assigned tasks, follow up on pending items, and provide status updates as needed
- Support communication with internal teams and external vendors through email, Teams channels, and shared documents
- Maintain organized records and ensure transition information remains accessible and up to date
- Prepare and distribute updated property lists to vendors
- Perform additional administrative duties as assigned or required
