About the role
This role combines Executive Assistant, Operations, and Marketing support to a Founder. You'll manage the inbox and calendar, coordinate actions, support clients, maintain Notion workflows, assist with LinkedIn and content, and use AI to improve efficiency. Within 30 days, the founder should have a clear view of what needs attention, what is progressing, and where their input is required. Your goal is to take ownership of the operational details so the founder can focus on growing the business.
Key responsibilities
- Manage the inbox, calendar, follow-ups, and priorities
- Turn meetings and conversations into clear actions
- Maintain Notion, SOPs, documentation, and task tracking
- Coordinate meetings, occasional travel, and operational
requirements
- Flag issues requiring the founder's attention with the right context
- Review recordings and AI transcripts
- Prepare meeting summaries, action plans, client updates, and presentations
- Create clear reports, summaries, and visual insights
- Schedule and support LinkedIn activity
- Assist with copywriting and content repurposing
About you
- Previous PA, EA, Operations, or Marketing Assistant experience
- Practical Xero experience is required
- Strong organisation, attention to detail, and follow-through
- Excellent written English
Notion experience
- Comfortable using AI tools such as Chat
- GPTExperience preparing meeting summaries and action plans
- Able to work independently and anticipate what needs to happen next
