The role handles project administration, time and budget tracking, resourcing data, reporting, and follow-through, allowing Senior Producers to focus on higher-value activities such as risk management, client relationships, and delivery improvements. The role reports to the Production Lead and works closely with the Senior Producer, delivery team, and finance. The Client They are an Australian-based design and technology company that has spent more than 20 years building digital services across justice, health, education, and social policy. They work in small studio teams and partner with government and organisations that serve communities. Key Responsibilities  Set up and maintain projects in Asana, including project structure, milestones, tasks, access, and records. Reconcile project budgets against assigned teams, contracts, and changes. Maintain accurate project boards, documentation, and records throughout the project lifecycle. Monitor timesheets, reconcile logged hours against project plans, and flag variances. Maintain project burn, work-in-progress, and weekly budget tracking. Prepare invoicing inputs and supporting details for finance. Maintain accurate resource allocation and forward resourcing data. Flag resourcing gaps, clashes, and over-allocation to the Production Lead. Maintain accurate project health data and reporting. Convert actions from project channels, including those captured through Otter and other AI tools, into tracked Asana tasks. Follow up on outstanding actions and ensure they are completed. Organise project documents, templates, and version control. Escalate issues relating to scope, commercial decisions, client risks, delivery quality, people management, or resourcing decisions to the Senior Producer or Production Lead. Comply with the Organization's Information Security Management System (ISMS), including all applicable information security policies, procedures, standards, and guidelines. Your Qualifications 3+ years of experience in project coordination, production support, PMO, or delivery administration. Financial background and strong financial/numerical literacy is highly preferrable Experience in a digital agency, design studio, or professional services consultancy is desirable Strong working knowledge of project management tools, particularly Asana, and spreadsheets. Familiarity with Google Workspace, Slack, HubSpot, Otter, or Xero. Strong written and verbal English. Confidence following up with people across different levels of seniority. Strong attention to detail and numerical accuracy. Ability to work independently, prioritise tasks, and raise issues early. Reliable home working setup and internet connection.
