Truck Dispatcher Virtual Assistant

Job Summary: We're excited to bring on an experienced Truck Dispatcher to manage the full dispatch cycle for our trucking operation, from finding and negotiating profitable loads to getting every delivery paid. You will be the main point of contact for brokers, handling calls and paperwork so our driver can stay focused on the road. The ideal candidate is a confident negotiator with strong phone skills, sharp attention to numbers, and hands-on experience with US load boards. Key Responsibilities: Source loads on load boards such as DAT and Truckstop.com to keep the truck consistently booked

• Evaluate lane profitability by calculating rate per mile, deadhead, fuel costs, and next-load potential before booking
• Negotiate rates with brokers to secure the best possible pay on every load
• Book loads and confirm pickup and delivery details with brokers and shippers
• Answer and manage inbound broker calls on behalf of the driver while he is on the road
• Conduct check calls and track loads in transit, providing timely status updates to brokers
• Review rate confirmations for accuracy before sign-off, and manage BOLs and other load documents
• Complete carrier packets and broker setup paperwork

Collect and organize post-delivery paperwork, including signed BOLs and PODsPrepare and send invoices promptly after delivery and follow up to ensure timely payment

• Mandatory Skills: Proven experience as a truck dispatcher for US carriers
• Hands-on experience with load boards such as DAT or Truckstop.com
• Strong rate negotiation skills with freight brokers
• Ability to calculate rate per mile and evaluate lane profitability, including deadhead and fuel costs
• Working knowledge of rate confirmations, BOLs, PODs, and carrier packets
• Excellent spoken English and confidence handling live phone calls with brokers
• Experience with load tracking, check calls, and freight invoicing
• Reliable, detail-oriented, and able to work independently
• Strong communication skills and the ability to make sound decisions quickly
• Preferred Skills: Experience dispatching for owner-operators or small fleets
• Familiarity with factoring companies and their submission process
• Experience with broker credit checks and carrier onboarding platforms
• Basic understanding of Hours of Service (HOS) rules and trip planning
• Familiarity with invoicing tools such as QuickBooks or similar software
• Ability to manage multiple tasks and priorities under time pressure
