WFH Design and Operations Coordinator (Canva)

Overview Our client is looking for a detail-oriented and proactive Design and Operations Coordinator to serve as the operational backbone of their creative design team. In this role, you will manage project tracking, vendor communications, and complex logistics to keep high-end projects moving seamlessly from concept to installation. It offers the ideal mix of administrative expertise and hands-on creative industry exposure in a fast-paced environment. Schedule: 9:00 AM to 6:00 PM EST, with one hour of unpaid break

• Responsibilities: Manage data entry and project tracking in Studio Designer software for proposals, purchase orders, and invoices
• Coordinate with vendors via phone and email to gather product specifications, pricing, and availability
• Schedule and track deliveries with warehouse partners and logistics coordinators
• Compile and distribute weekly client project status updates using Slack and Canva information
• Support design team workflow through Slack platform integration and communication
• Create visual presentations and project documentation using Canva
• Manage project timelines and coordinate between internal teams and external partners
• Handle administrative tasks that keep design projects on track and within budget
• Requirements:3+ years of experience as an administrative assistant, operations coordinator, or similar role
• Proficiency in Canva for creating presentations and visual communications
• Strong English communication skills with clear phone presence for vendor coordination
• Ability to learn industry-specific software quickly (Studio Designer training provided)
• Experience with Slack or similar team communication platforms
• Bonus if you have AutoCAD experience or familiarity with AI rendering software
• It helps if you have exposure to design, architecture, or creative industries
