About the role
We are seeking an E-Commerce Backend Administrator to manage and support the company’s e-commerce platform and Order Management System (OMS). The role will oversee product information, pricing, inventory, promotions, orders, fulfillment, user access, system monitoring, and integrations to ensure smooth and accurate online operations. The position will work closely with IT, E-Commerce, Merchandising, Marketing, Finance, Logistics, Store Operations, and external vendors to support the complete order journey from purchase through fulfillment and delivery.
KEY RESPONSIBILITIES
- Administer and maintain the e-commerce platform and OMS, preferably with Magento experience.
- Monitor the complete order lifecycle, including order creation, payment, allocation, fulfillment, shipment, cancellation, return, and refund.
- Monitor order and inventory synchronization across E-Commerce, OMS, ERP, POS, WMS, payment gateways, and logistics platforms.
- Investigate and coordinate the resolution of failed, delayed, stuck, or exceptional orders.
- Maintain product catalogs, categories, attributes, images, pricing, availability, promotions, discounts, and vouchers.
- Manage backend users, roles, and access permissions.
- Support order allocation, fulfillment, returns, refunds, and omnichannel operations across stores, warehouses, and fulfillment locations.
- Coordinate with Merchandising and Marketing teams to implement and validate campaigns before and after launch.
- Monitor system availability and performance; perform initial troubleshooting and escalate issues when required.
- Log, track, and follow up on incidents through the helpdesk or service management system.
- Coordinate with IT, development teams, and vendors to resolve API, integration, data synchronization, order flow, and inventory issues.
- Support SIT and UAT, system enhancements, releases, maintenance, and post-deployment validation.
- Test critical processes, including order creation, payment, inventory allocation, fulfillment, cancellation, return, refund, and shipment.
- Maintain system documentation, incident records, operational procedures, and reports covering orders, inventory, fulfillment, returns, and system performance.
- Identify recurring issues and recommend process or system improvements
QUALIFICATIONS & REQUIREMENTS
- Bachelor’s degree in Information Technology, Computer Science, E-Commerce, Business, or a related field.
- 3–5 years of experience in e-commerce administration, OMS, application support, or e-commerce operations.
- Hands-on experience with Magento or another e-commerce platform.
- Experience with an Order Management System (OMS) is highly preferred.
- Understanding of e-commerce order lifecycle, inventory, fulfillment, returns, refunds, and omnichannel operations.
- Basic knowledge of APIs, system integrations, and data flows.
- Experience with ERP, POS, WMS, payment gateways, logistics platforms, or online marketplaces such as Shopee, Lazada, or Grab is an advantage.
- Experience with helpdesk or ticketing systems.
- Strong analytical, troubleshooting, problem-solving, communication, and stakeholder coordination skills.
- Detail-oriented with strong data accuracy and organizational skills.
- Willing to support weekends, holidays, or extended hours during major campaigns or critical incidents when required.
