About the role

Job Summary: We're eager to find a reliable and empathetic Nonprofit Administrative Coordinator to serve as the administrative backbone of a small nonprofit that supports families affected by a rare medical condition. The role covers incoming inquiries from our community, accurate donor records, our newsletter, and a well-organized set of shared files. It is an organization-focused administrative position, not an executive or personal assistant role. Our ideal hire is a tech-savvy self-starter who writes with warmth and sensitivity and truly owns the work. Key Responsibilities: Oversee the organization's shared mailbox, answering inquiries from families, donors, and partners with care and sensitivity

  • Direct or escalate inquiries that call for leadership input, and follow through so nothing is missed
  • Record, update, and maintain donation records and donor information in the CRM (Little Green Light)
  • Run and reconcile donor and donation reports when requested
  • Design and lay out the organization's newsletter with Canva and AI tools, including sourcing and preparing images
  • Structure and maintain Google Drive so documents, templates, and records are easy to locate and consistently named
  • Document processes, logins, and account access so all work stays transparent, transferable, and independent of any one person's memory
  • Point out inefficiencies in current workflows and propose better tools, templates, or processes
  • Help with additional administrative projects as the organization's needs shift
  • Mandatory Skills: Excellent written English with a strong feel for tone, warmth, and sensitivity
  • Genuine empathy and the ability to write compassionately to families facing a lifelong medical condition
  • Experience running a shared or organizational inbox and seeing inquiries through end to end
  • Comfortable learning and using a CRM or donor database; accurate data entry with close attention to detail

Skilled with Google Workspace, especially Google Drive file organization and Google Docs/SheetsWorking knowledge of Canva or a comparable design tool for newsletters and simple graphics

  • At ease using AI tools to speed up drafting, layout, and research
  • Highly tech-savvy and fast to learn new platforms with little hand-holding
  • Detail-conscious, dependable, and able to self-direct
  • Strong communication skills and a proactive habit of raising issues and suggesting improvements
  • Preferred Skills: Prior experience with a nonprofit, charity, foundation, or mission-driven organization
  • Working knowledge of Little Green Light or another donor CRM (Bloomerang, Donor
  • Perfect, Kindful, Neon, or similar)
  • Experience with email newsletter platforms and basic email marketing
  • Experience writing or maintaining SOPs and process documentation
  • Personal interest in patient advocacy, healthcare, family support, or community-building work
  • Ability to keep several projects moving at once and set your own priorities
