Sales Admin Officer

Duties and Responsibilities Receiving of Customer Orders, liaising with internal stakeholders to determine the best possible lead time available and communicating this back to Customer within a timely manner. Accurate creation of necessary documents to support the actions required to satisfy the enquiry such as Sales Order, Proforma Invoice ensuring that all details are accurately and correctly entered. Closely liaise with internal departments to regularly understand expectation of shipment date, and communicating with external stakeholders to ensure other factors such as payment or freight is prepared in sufficient time to support the planned shipment. Accurate generation of necessary shipping documents such as Packing List, Invoice or any additional requirements such Certificate of Origin or shipment specific requests. Provides the Customer with best possible freight options through accurate packing simulations and sufficient regular enquiries with freight forwarders to offer best value within the any constraints of international shipping regulations. Ensures timely and suitably detailed responses to other Customer enquiries, escalating internally, any concerns where customer satisfaction may be jeopardized without additional supportive actions. Maintains professional, courteous and helpful communication with Customers at all times

Productively challenges every element specific to the role but also touch points to identify and put forward to their Supervisor, any opportunities for improvement within the processes

Perform other duties that may be assigned from time to time, or as the need arises. QualificationBS/BA in Business Administration, Management preferred but not essential

At least 3 years’ work experience in handling and processing customer orders preferred essential

ERP or Sales Order Management system experience preferred. In depth knowledge in Import and Export Transactions.
