About the role
The HR Records Staff is responsible for the proper maintenance, organization, safekeeping, and updating of employee personnel records, particularly the hard-copy 201 files of security personnel and other employees. The position will also be responsible for the systematic population, encoding, and updating of employee records in the Company's HRIS, ensuring that information contained in the physical 201 files is accurately reflected in the corresponding electronic records. Key responsibilities
- Maintain and organize the Company's physical 201 files/personnel files, ensuring that employee files are properly labeled, arranged, updated, and secured
- Receive, file, retrieve, and return personnel documents to their proper 201 files
- Check 201 files for completeness, proper documentation, and appropriate filing
- Identify missing, incomplete, outdated, or improperly filed documents and coordinate with the appropriate HR personnel for completion or correction
- Encode employee information from physical 201 files into the Company's HRIS accurately and efficiently
Populate employee profiles with personal information, employment information, government numbers, contact information, employment history, position and assignment, training and certifications, licenses and other relevant employee documentation
- Update existing employee records whenever new or corrected information is received
- Perform data validation and quality checks to identify encoding errors, duplicate records, missing information, and inconsistencies
- Use Google Sheets for employee masterlists, monitoring sheets, trackers, reconciliation, and other HR records
Compare physical 201 files against HRIS records to identify discrepancies and reconcile differences between hard-copy records, electronic documents, employee masterlists, and HRIS data
About you
Graduate of any 4-year course, preferably Human Resources, Business Administration, Management, Office Administration, Information Management, or a related field
- Fast and accurate in data encoding
- Proficient in Google Workspace, particularly Google Sheets, Google Drive, Google Docs, and Gmail
- Strong attention to detail and accuracy
- Highly organized and capable of handling a large volume of records
- Able to work with repetitive encoding and filing tasks while maintaining accuracy
- Good document management and filing skills
- Trustworthy and able to maintain strict confidentiality of employee information
- Reliable, hardworking, patient, and organized
- Willing to work in a fast-paced HR environment
